Position Summary

The Administrative Support Specialist will provide part-time support to the mission of the Office of the
Chancellor, reflecting the office, the Chancellor, and the Senior Vice Chancellor/Chief of Staff in a professional manner.

This is a non-benefited position not to exceed 1,000 hours in a calendar year.

Essential Functions

The Administrative Support Specialist will provide part-time support to the mission of the Office of the
Chancellor, reflecting the office, the Chancellor, and the Senior Vice Chancellor/Chief of Staff in a
professional manner. The job responsibilities include the following:

  • Function as primary back-up for administrative assistant; answer phones, forward messages,
    provide a friendly welcome to scheduled guests and provide hospitality.
  • Provide additional administrative support by reserving space, reserving catering, running
    errands, and assisting with various activities such as copying, filing, and processing and tracking
    incoming/outgoing mail.
  • Contribute to the efforts to maintain the cleanliness and effective functioning of the
    Chancellors suite, including the Renaissance Room and Centennial Conference Room; check
    stock and determine inventory levels, liaison with facilities and custodial services to enter and
    track work orders and ensure office is in top shape.
  • Run errands both on and off campus to support the needs of the office.
  • Assist Associate Director with event preparation for Chancellors office and University events.
  • Transport event items around campus.
  • Coordinate with department of Facilities Management regarding the use of the Chancellors golf
    cart as needed.
  • Coordinate project management for Chancellors office projects.
  • Perform other duties as assigned.
  • Seek opportunities to support the other members of the office as needed and as assigned.

Knowledge, Skills, and Abilities

  • Must be able to work in a fast-paced professional office.
  • Advanced-level proficiency in Internet use including information searches.
  • Must have excellent telephone and communication skills.
  • Solid computer skills a must including Word, Excel, calendaring systems, and Banner.
  • High level of confidentiality.
  • Ability to lift 25+ pounds for stocking and event items transport.

Required Qualifications

  • High School diploma/GED or equivalent years of experience.
  • Intermediate-level proficiency in Microsoft Office software.

Preferred Qualifications

  • Bachelors degree
  • Experience working in higher education
  • Experience with Banner

Working Environment

1. Standard office environment.
2. Unexpected interruptions occur often and stress level is moderate to high.
3. Noise level is quiet to moderate.

Physical Activities

1. Ability to sit in front of a computer for an extended period of time.
2. Occasionally required to move about the office/campus with the capability of transporting objects up to 20 lbs.

Work Schedule
Part-time, Varies. Evenings and weekends as required.

Hourly Range:
The hourly range for the position is $16.50 - $20.00.

Salary Range:
Salary will be determined by the qualifications of the selected candidate balanced with departmental budget availability, internal salary equity considerations, and available market information.
