The Department of Languages and Literatures offers undergraduate majors and minors in French, German, Italian, Russian, and Spanish; minors in Chinese, Japanese, Hebrew, and Latin; and electives in Arabic and classical Greek. The department has approximately 40 full-time faculty and staff members who come from 20 different countries and speak as many languages.

General Summary

The Program Coordinator position provides office management and administrative support to the Departments of Languages & Literatures within the College of Arts, Humanities & Social Sciences. Important duties include overseeing administrative functions for the undergraduate programs; managing departmental webpages and social media accounts; planning events; working with other staff members on general administrative duties, including monitoring office supplies and possible problems with office equipment. The ideal candidate must be able to work independently under general direction, and they must be able to provide excellent service to students, faculty, and staff under a variety of circumstances.

Essential Functions


  • General Administrative Support: Greet and assist visitors to the main office, monitor voicemail and email accounts to answer/route inquiries, monitor office supplies and equipment, distribute mail and packages, submit maintenance requests, perform space allocation changes and analysis when required, and other duties to ensure smooth day-to-day operations for the departmental academic office.
  • Provide administrative support to the Chairs: Attend departmental meetings, oversee the creation of meeting records, and facilitate departmental voting and surveys. Coordinate the maintenance and distribution of departmental documents.
  • Event Coordination: Plan and coordinate events involving alumni, faculty, and students, including university event registration, catering, space reservation, event marketing.
  • Coordinate department internal and external communications, including: website maintenance and content editing; development and management of content for social media; internal department communication systems and calendars.
  • Student Work Award Coordinator: Post positions and process hiring requests, interview and hire administrative student workers, monitor status of awards (funds remaining, new funds), and timecard approval for all student workers.
  • Other duties and special projects as assigned by the Chairs and/or Assistant to the Chairs


  • Departmental Data Tracking and Analysis: Oversee development and implementation of data tracking tools as well as data collection, management, and analysis for department-wide administrative data needs (such as for accreditation reports, majors and minors, study abroad participation, etc.).
  • Undergraduate Curriculum Support: Provide support for the undergraduate programs, including advising workflow, coordinating course scheduling and submission, major approvals, course proposals and maintenance, coordinating annual awards ceremony, and serving as a liaison to other offices on campus which work with language students.

Knowledge, Skills, and Abilities

  • Ability to communicate effectively with faculty, staff, students, and the general public.
  • Ability to read and follow directions and instructions.
  • Excellent composing, writing, and editing skills.
  • Ability to do basic math and to use computer programs to manage and do basic manipulations of data.
  • Strong computer skills.
  • Proficiency with computer technology such as using the Microsoft Office Suite: OneDrive, Word, Excel, Access, Outlook, Publisher, etc.
  • Knowledgeable with database programs and able to use software programs to update department website content.
  • Ability to problem solve.
  • Strong quantitative reasoning skills for data tracking projects.
  • Ability to multi-task, adapt and be flexible.
  • Ability to establish and maintain good working relationships with faculty, staff, and students.
  • Ability to handle a busy atmosphere with good-natured composure, excellent interpersonal skills to work with faculty, staff, students, and community members.
  • Ability to perform office functions (standing, sitting, walking, reaching).

Required Qualifications

  • Bachelor's degree in progress or an equivalent combination of education and training/experience.
  • Two years of experience in an office support position.
  • Thorough working knowledge of Word, Excel, Outlook, and PowerPoint.

Preferred Qualifications

  • Bachelor's degree
  • Three to five years of office experience
  • Experience with web and social media software
  • Ability to work with minimal direction
  • Experience with Banner and Qualtrics
  • Proven organizational skills and high attention to detail

Work Schedule
Monday - Friday, 8:00 a.m. - 4:30 p.m.

Salary Range:
Salary will be determined by the qualifications of the selected candidate balanced with departmental budget availability, internal salary equity considerations, and available market information.
