Position Summary

The Osher Lifelong Learning Institute at the University of Denver (OLLI at DU) is an adult learning membership program designed for inquiring adults, age 50 and "better," who wish to pursue lifelong learning in a relaxed non-competitive atmosphere. OLLI members come from diverse backgrounds and professions and share the desire to stay intellectually active and engaged. No one is a stranger for long at OLLI because everyone who joins has the same desire to learn and share expertise in the company of peers.

The Program Assistant works with the OLLI at DU On-Campus Site Manager. General duties include, but are not limited to, maintaining databases and spreadsheets, preparing presentation materials and correspondence, and communicating with OLLI members and potential members.  This employee assists in the area of facilitator support and implementation of various administrative functions, i.e. communications, file management, meeting coordination, and technical support. 

This is a non-benefited position not to exceed 1,000 hours in a calendar year.

Essential Functions


  • Assist site manager in locating and securing new instructors
  • Assist in the development of a robust volunteer group (New Member “Meet & Greet; “class assistants, social events)


     Each Term:

  • Assist in the creation of course catalog
  • Assist with the registration process
  • Create class lists, attendance sheets
  • Create nametags (for in-person courses)
  • Create New Member packets (OLLI bag, pen, sticker)
  • Parking Passes:  obtain from DU Parking, assign to members, and mail to their home addresses
  • Send list of names to OLLI DU administrative assistant for OLLI at DU membership card order
  • Send end of term thank you emails to instructors and class assistants
  • Assist in preparation & distribution of online course evaluations
  • Assist in distribution of evaluation results/reports to each instructor


  • Assist in the development of a site management binder with important information about course proposal deadlines, new members, instructor meet and greet, social events, how to request rooms at DU
  • Assist in development and dissemination of biweekly newsletter to On-Campus members
  • Acknowledge by letter (over Manager’s signature) all donations – annual appeal, memorials, other
  • Maintain Site Portfolio website in alignment with OLLI at DU format
  • Maintain OLLI On-Campus member spreadsheet
  • Maintain OLLI On-Campus volunteer spreadsheet
  • Maintain OLLI On-Campus distribution lists and member information in Constant Contact
  • Maintain OLLI On-Campus instructor database/spreadsheet

Member Ambassador

  • Coordinate with the Site Manager on monitoring the site during class sessions
  • Coordinate with the Site Manager on acting as host/hostess for OLLI members
  • Coordinate with the Site Manager on greeting instructors and ensure rooms are open and room arrangement is to instructor preference
  • Work with Ruffatto hall A/V Tech, if needed, to ensure equipment (TV, DVD player, etc.) is in working order
  • Answer questions about OLLI On Campus
  • Assist Manager as liaison between Ruffatto Hall and OLLI members and instructors


  • Attend On-Campus Volunteer Committee meetings

Other Duties

  • Assist Site Manager with social events  (receptions, open house)
  • Assist Site Manager with “Meet and Greet” for all instructors each term
  • Assist Site Manager with “Meet and Greet” for new members each term

Required Qualifications:

  • Home office
  • Personable; ability to interact well with variety of people; able to anticipate needs
  • Organized – able to juggle multiple priorities at once
  • Be available onsite the first and fifth week of the term
  • Excellent communication skills
  • Ability to multi-task and meet multiple demands at once in a calm manner (e.g., the first week of each term can be very chaotic with members coming at you all at once … many in a panic)
  • Technology Skills
    • Ability to work with several web-based applications (ProClass registration, Constant Contact email, Portfolio (website)
    • an integral working knowledge of Microsoft Word and Excel
    • a good knowledge of Zoom and both attending and presenting via this format

Preferred Qualifications:

  • Have advanced computer skills
  • Experience with DropBox
  • Experience with Office 365
  • Prior experience in adult education
  • Experience with hybrid learning (both in-person and online simultaneously)

Work Environment

  • This part-time, non-benefited position has a flexible schedule as the duties dictate. 
  • There is not a designated office. The primary class site is the University of Denver Campus (Ruffatto Hall at the corner of Evans and High Streets).

Hourly Range

The hourly range for this position is $20-21.

The University of Denver has provided a compensation range that represents its good faith estimate of what the University may pay for the position at the time of posting. The University may ultimately pay more or less than the posted compensation range. The salary offered to the selected candidate will be determined based on factors such as the qualifications of the selected candidate, departmental budget availability, internal salary equity considerations, and available market information, but not based on a candidate’s sex or any other protected status.
