The Office of the Registrar, an administrative service center for the University of Denver community, takes an active role in assisting students and faculty with registration and advising by providing the tools needed to review academic progress, create class schedules and successfully register for classes. Specialized services include, but are not limited to registering for classes, prompt transcript distribution, degree evaluation and certification, enrollment and degree verification, classroom scheduling and withdrawal processing. We provide pertinent information regarding academic policy, federal regulations, and procedures as related to the procurement, maintenance and release of educational records of our current and former students.

Position Summary

The Scheduling Coordinator manages the utilization and allocation of institutional classrooms for the Office of the Registrar, on behalf of the Provost, coordinates usage of divisionally controlled classrooms. Position makes classroom assignments for most classes each term. Recommends classroom administration policies; and performs complex analysis and reporting functions. Acts as liaison between Office of the Registrar and other offices on campus, including Conference, Meeting and Events Services, Classroom Support, the Architects Office, and Facilities Management in functions such as construction coordination, AV enhancements, furniture acquisition and other aspects of classroom inventory maintenance. Position administers a quarter million-dollar budget for maintenance and improvement of University's classroom inventory. Position administers classroom scheduling software (Series 25) for University including user security, event management, web-publishing functions, in addition to software upgrades and version changes. Maintains University schedule of classes and catalog of courses in the Banner Student Information System. Works directly with academic units in an editorial capacity to ensure stylistic consistency in course description data. Establishes benchmark dates relating to course scheduling and planning. Works directly and independently with coordinators of academic units in the development and modification of course and section scheduling resources and accommodations

Essential Functions

  • Acts as functional administrator for our course scheduling, event registration and management (i.e., Series 25).
  • Serves as the expert resource and system administrator for the software program, administers software upgrades and version changes. Trains divisional users.
  • Assigns classroom space and prepares scheduling software to make classroom assignments.
  • Optimizes classroom utilization and reviews classroom assignments. Makes necessary changes based on scheduling policies, class size, department, location and instructor preference.
  • Assists departmental assistants and faculty with classroom assignments and changes.
  • Maintains University catalog of courses in the Student Information System (Banner).
  • Works directly with academic units in an editorial capacity to ensure stylistic consistency in course description data.
  • Maintains University schedule of classes and enters schedule information as required.
  • Assists academic departments with delegated schedule authority; trains users; communicates procedures.
  • Establishes benchmark dates relating to course scheduling and planning.
  • Works with Study Abroad/Catalog Coordinator and other members of the office of the Registrar staff to ensure changes in curriculum and catalog are properly implemented within the schedule of classes.
  • Maintains inventory of instructional facilities and classroom utilization.
  • Develops ad hoc utilization reports.
  • Acts as liaison between Office of the Registrar and other key offices on campus regarding classroom inventory and enhancement activities.
  • Administers a quarter million-dollar budget for maintenance and improvement of University's classroom inventory of approximately 125 centrally scheduled spaces
  • Other duties as assigned

Knowledge, Skills, and Abilities

  • Ability to read, analyze, and interpret university publications, technical procedures, or policy manuals.
  • Ability to write complex reports and business correspondence as well as edit the work of others for style and clarity.
  • Ability to effectively present information and respond to questions from students, University colleagues and the general public.
  • Ability to speak effectively before groups of students and other employees.
  • Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form. Ability to make decisions according to rules, regulations and procedures.
  • Ability to make independent decisions in discretionary areas.
  • Ability to extract pertinent information from catalog descriptions and similar documents.
  • Knowledge of overall campus layout (buildings, rooms, etc.) along with general academic scheduling policies is important.
  • Knowledge of such policies at the University of Denver will be very helpful. 
  • The position works extensively with faculty and staff, and to a lesser degree students and parents. Thus, strong interpersonal skills are required in terms of both clearly and concisely communicating complex information and listening effectively. Personal computer skills are essential. The position works regularly with computerized information systems.

Required Qualifications

  • Associates or equivalent combination of education or work experience (Veterans with equivalent combination of military certification/education and experience may substitute for the degree qualification).
  • 2 years of related experience in a similar role.

Preferred Qualifications

  • Bachelor's Degree or equivalent combination of education or work experience (Veterans with equivalent combination of military certification/education and experience may substitute for the degree qualification).
  • 3 years of related experience in a similar role.

Work Schedule
Monday - Friday, 8:00 a.m. - 4:30 p.m.

Salary Grade Number:
The salary grade for the position is 7.

Hourly Range:
The hourly range for the position is $24.52 - $27.07.
