About the College of Natural Sciences and Mathematics

The college is home to five academic departments: Biological Sciences, Chemistry and Biochemistry, Geography and the Environment, Mathematics, and Physics and Astronomy. The college offers over 30 degrees ranging from Bachelor of Arts to Doctor of Philosophy as well as having many active research labs funded through extramural sources. About Biological Sciences

The Department of Biological Sciences focuses on three areas of research and teaching; 1) Cell and Molecular Biology – including biophysics, neuroscience, cell signaling, and developmental biology, and 2) Ecology, Biodiversity – including behavioral ecology, plant-insect interactions, conservation biology, restoration ecology, and evolution and 3) Physiology of Health and Disease including emphasis on human physiology and exercise physiology. The department offers undergraduate majors of study including Biology (B.A./B.S.), Molecular Biology (B.S./B.S.), Ecology, and BioDiversity (B.A./B.S.) Physiology of Health and Disease (BS) and Integrated Sciences (B.A.). A concentration in Cognitive Neurosciences (B.A./B.S.) is also offered in conjunction with the Department of Psychology. At the graduate level, the department offers M.S. and Ph.D. with a research emphasis in either cell and molecular biology or ecology and biodiversity. A professional science masters (PSM) is offered in Biomedical Sciences and includes and emphasis in clinical exercise physiology.

Position Summary

The Department of Biological Sciences has an opening for an Administrative Assistant. This position provides general department administration and support, graduate program administration, course scheduling and registration, and assistance to the Pre-professional/Allied Health advising center. The ideal candidate must be able to work independently under general direction and provide excellent service to faculty, students, University staff and community members under a variety of circumstances.

Essential Functions

General Department Administration

  • Answer phones, greet and assist office visitors, respond to program inquiries
  • Maintain and order office and lab supplies and textbooks
  • Supervise work study student workers
  • Maintain work study employment records and departmental records
  • Update the undergraduate bulletin
  • Coordinate department functions and assist with division functions

Graduate Program Administration

  • Work with department graduate program chair to maintain all records in files and in spreadsheet format
  • Maintain up-to-date information on all inquiries and initiated applications
  • Course scheduling and registration
  • Work with department chair to schedule courses in the registrar system
  • Assist department chair and faculty in managing seats and sections during registration
  • Assist Pre-professional/Allied Health advising center director
  • First point-of-contact for students
  • Schedule appointments for director
  • Maintain student utilization records, student applications records
  • Maintain website

Supervise Work Study and Student Workers

  • Interview students, request background checks and hire through Pioneer Web
  • Schedule to maximize use of student awards and cover departmental needs; monitor spending to stay within financial aid and departmental budgets
  • Provide training and constructive feedback throughout the year
  • Confirm and make adjustments to non-benefited bi-weekly payroll through the university timekeeping system and enter monthly non-benefited payroll into Banner

  • Thorough knowledge of Microsoft Programs that include but limited to: Excel, Word and Outlook

Required Qualifications

  • High School diploma or equivalent
  • Proficiency with MS Office with an emphasis on Word and Excel

Preferred Qualifications

  • Bachelor’s degree or degree in progress
  • Two or more years’ experience in an office support setting
  • Knowledge of Banner

Working Environment

Busy office environment.
Unexpected interruptions occur often and stress level is moderate to high.
Noise level is quiet to moderate.

Physical Activities

Ability to sit in front of a computer for an extended period of time.
Occasionally required to move about the office/campus with the capability of transporting objects up to 20 lbs.

Work Schedule
Monday - Friday, 8:00 a.m. - 4:30 p.m.

The salary grade for the position is 6.

Hourly Range:
The hourly range for the position is $20.00 - $23.50
