Position Summary

Reporting to the Curator of Special Collections and Archives, this full time position is responsible for the Special Collection and Archives public services coordination with primary responsibility for management of the Special Collections and Archives reading room, including: supervising, training, and evaluating hourly and work-study student employees; scheduling research and instruction appointments for individuals and classes; and scheduling the reference desk to ensure that it is staffed for all hours the reading room is open. This position will provide reference and instruction support, including independent oversight of instructional activities as necessary, assist with patrons, and oversee the paging, management, and return of archival materials from on and off-site storage. This position will work with the Processing Archivist and other staff members as appropriate to manage ordering of supplies for the unit, working with Curator and the Dean’s Office/Budget staff to ensure cost effectiveness. The position will assist with the administrative process to transfer the initial intellectual control of collections, and physical processing of collections as necessary. Actively participates in library committees and departmental meetings as needed.

Essential Functions

  • Service desk/reading room operations: Oversees activities at the reading room service desk, ensuring adequate desk coverage and addressing patron concerns. Schedules appointments for individuals and classes for use of collections in the reading room and the instructional spaces managed by Special Collections and Archives, updates public services documentation as necessary.
  • Responsible for the paging, management, and return of archival materials from on and off-site storage that have been recalled for patron use.
  • Student management: Responsible for hiring, supervising, training, and evaluating student employees, student timesheets, estimating the units yearly hourly budget needs, and tracking the hourly budget for that fiscal year.
  • Reference and instructional services: Performs reference service for students, faculty, alumni, administrative staff, and outside researchers using the collection management system and online discovery tools. Ensures that all patron inquiries are responded to within 1 business day. Supports and works with Curator and other staff members as appropriate to manage, support development of, and sometimes deliver instructional content using archival collections.
  • Collection management and processing: Assists with the physical and administrative transfer, initial intellectual control, and physical processing and initial description of collections as necessary.
  • Statistics and reporting: Entry and quality control of all statistics compiled by the unit, including: instruction, reference/patron use, circulation, accessions in coordination with other Special Collections staff.

Supervisory Duties

Supervision of 2 – 6 hourly employees who could include students and work-study employees

  • Proficiency in all common office productivity tools (i.e., Microsoft Office Suite, etc.)
  • Basic math skills.

Required Qualifications

  • High school diploma or GED.
  • Experience in a position or positions that includes successful management, supervision, training, or oversight of employees (this can include oversight of volunteers, interns, or a lead role on a team, in a department, or on a project)
  • Familiarity with archival database management systems (e.g., Archivists’ Toolkit or ArchivesSpace) and library management systems (e.g., Ex Libris or Innovative Interfaces tools such as Alma and Sierra).

Preferred Qualifications

  • Bachelor’s degree or equivalent combination of education and experience.
  • 2 years of experience in an archive, special collections, records management, cultural, heritage, or equivalent environment.
  • Experience using ArchivesSpace collection management system.
  • Experience using Ex Libris Alma/Primo library management system.
  • Experience developing training materials, documentation, and/or overseeing training of individuals and groups.

Working Environment

The work environment is within the Special Collections area of an academic library. The department is highly automated with attention paid to ergonomics and safety, using workstations equipped with easy access to needed resources and access to the Internet. The unit is one of several working collaboratively and cooperatively in a team-based organization.

Physical Activities

Must be able to lift and move boxes, some up to 40 lbs., and load book trucks from one area to another. Must be able to sustain long periods of time (4+ hours) working at a computer terminal.

Work Schedule

Monday - Friday, 9:00 a.m. - 5 p.m.

Hourly Range:

The hourly range for the position is $19.50 - $20.50.
