Position Summary

The successful candidate will provide executive-level administrative support to the President of HERS, the HERS Board of Directors, and manage the administrative operations of the organization. They will function as an important member of the HERS team focused on our mission to create and sustain a diverse community of leaders who serve boldly to change higher education towards greater equity and inclusion. This position is expected to engage professionally and collegially with HERS’ external constituents, including staff, faculty, and institutional leaders in higher education across the U.S. The ideal candidate must have a solid understanding of the constituents HERS serves; how to effectively use basic office equipment and applications; appropriate social skills to employ; project coordination experience; and how to work effectively with all levels of internal and external staff and stakeholders. The person in this role must be able to multi-task and prioritize many competing deadlines and timelines. Attention to detail and accuracy, and exemplary organizational skills are essential to success in this position.

Essential Functions

60% - Executive Administrative Support

  • Provide full administrative support to the President, including assistance with correspondence, scheduling, travel, expense reports, strategic initiatives, university and professional society collaborations, and public engagement
  • Provide support to the President with Board relations, including communication and meeting logistics
  • Provide support to the President in developing and sustaining external relations
  • Serve as a strong liaison and provide excellent customer service to HERS staff, campus colleagues, alumnae, donors, sponsors, and other stakeholders
  • As needed, contribute to the creation and delivery of high-quality professional reports, presentations, and other documents for internal and external audiences
  • Other related duties as assigned by the President

30% - Board of Directors Relations Coordinator

  • Schedule Board of Directors and related committee meetings via communications with Directors and/or their EAs
  • Oversee and coordinate all communications sent out to Board members
  • Attend Board and related committee meetings; prepare, record, and electronically file all reports, meeting minutes, and other documents for the Board and related committees
  • Provide support to the Chair of Board of Directors as needed
  • Oversee and manage Board committee needs

10% - Office Management

  • Attend HERS staff meetings and record minutes of high-level decisions and any follow-up required
  • Oversee updates of HERS main office calendar of events and programs
  • Monitor and respond to requests and inquiries sent through HERS email inbox
  • Answer calls to HERS main office line during regular business hours
  • Oversee onboarding and supervision of DU student employees for general office support as needed
  • Keep track of office inventory and supplies and order as needed for programs, staff, and HERS constituents

Required Qualifications

  • Bachelor’s degree from an accredited institution, or equivalent combination of training, education, and experience
  • Minimum of 5 years’ experience as an administrative assistant supporting C-Suite executive in non-profit/higher education or for-profit organizational setting
  • Excellent writing and oral communication skills
  • High degree of initiative, flexibility, and ability to multitask routinely
  • Excellent sense of judgment, discretion, confidentiality and utmost professionalism and executive presence

Preferred Qualifications

  • CAP (Certified Administrative certificate)
  • Microsoft Office Specialist certification
  • Master’s degree from an accredited institution
  • Professional administrative experience in higher education or non-profit organization
  • Experience developing PowerPoint presentations
  • Experience with relationship development and stewardship of with Board of Directors and/or other external stakeholders

Working Environment

  1. Standard office environment.
  2. Unexpected interruptions occur often, and stress level is moderate to high.
  3. Noise level is quiet to moderate.

Physical Activities

  1. Ability to sit in front of a computer for an extended period.
  2. Occasionally required to move about the office/campus with the capability of transporting objects up to 20 lbs.

Work Schedule

  • Monday-Friday 8:00 am - 4:30 pm (hybrid model of remote and in-office work schedule that includes at least 2 days per week onsite)
  • Occasional weekends required
  • Air and/or ground travel to board meetings and other HERS special events as needed

Salary Grade Number:

The salary grade for the position is 9.

Salary Range:

The salary range for this position is $55,000 – $70,000.

The University of Denver has provided a compensation range that represents its good faith estimate of what the University may pay for the position at the time of posting. The University may ultimately pay more or less than the posted compensation range. The salary offered to the selected candidate will be determined based on factors such as the qualifications of the selected candidate, departmental budget availability, internal salary equity considerations, and available market information, but not based on a candidate’s sex or any other protected status.
