Position Summary
The Executive Assistant serves as the primary point of contact for internal and external constituencies on all administrative matters pertaining to the Senior Vice Chancellor (SVC) and Associate Vice Chancellors (AVCs) of University Relations.
The Executive Assistant is detail-oriented and creative, and enjoys working within a fast-paced, large, entrepreneurial environment that is mission-driven, results-focused and community oriented. The Executive Assistant will have the ability to work independently on projects, from conception to completion, and must be able to work under pressure and trusted to handle a wide variety of activities and confidential matters with discretion.
Essential Functions
- Provides office coverage for phones, visitors, and other administrative duties.
- Manages highly active appointment calendars for the SVC and AVCs.
- Completes SVC and AVC expense reports and prepares confidential correspondence.
- Manages off-campus meetings and work-related travel arrangements for the SVC and AVCs.
- Coordinates all aspects of business travel, including registration fees, lodging, ground transportation, and flight reservations.
- Prepares agendas and materials for meetings, provides monthly and special reports, and coordinates university-wide marketing and communications meetings.
- Plans, coordinates, and ensures schedules are followed and respected, acting as a gatekeeper for the SVC’s and AVC’s time.
- May communicate on behalf of the SVC and AVCs with University Council, senior leadership, colleagues, and staff.
- Researches, prioritizes, and follows up on incoming issues and concerns addressed to the SVC and AVCs, determining appropriate actions.
- Facilitates effective communication between the University Relations office and internal departments, maintaining credibility and trust.
- Manages special projects for the SVC and AVCs, some with institution-wide impact, and handles conflicting needs with urgency and attention to detail.
- Other duties as assigned.

- Progressively responsible administrative/office management experience.

1. Ability to sit in front of a computer for an extended period of time.
2. Occasionally required to move about the office/campus with the capability of transporting objects up to 20 lbs.

The salary grade for the position is 9.
Salary Range:
The salary range for this position is $60,000-$70,000
