The team serves as active and collaborative partners to all central and unit-based advancement functions and campus colleagues to foster strategic and effective advancement programs. Position Summary DU Advancement is seeking a detail-oriented and proactive Event Assistant to support advancement event planning, preparation, logistics, and execution. Reporting to the Director of Advancement Events, the Event Assistant is responsible for supporting the successful execution of a variety of events that deepen the engagement and philanthropic commitment of the University of Denver community. This role is ideal for someone with strong administrative skills, a customer-service mindset, and the ability to manage multiple tasks in a fast-paced environment. Attention to detail and accuracy is essential to success in this role. Essential Functions Managing incoming communication, including monitoring and triaging the general Advancement Events email inbox and phone line; responding to all requests and questions and connecting parties to the appropriate staff members as necessary Keeping internal Advancement Events calendar up to date and assisting in updating team project management system Providing pre-event assistance and support to the Advancement Events team, such as researching venue availability, coordinating parking services, ordering event supplies, preparing travel event kits, etc Supporting team members, including managing office and event supplies and inventory, scheduling meetings, and supporting expense reporting Assisting with event registration logistics, including cross-checking attendee lists in event management platform, printing and organizing event nametags, facilitating event registration and confirmation reminders, and supporting on-site event registration and check-in Working within the event registration platform to support registration page builds and manage registration edits, refunds, and manual registrations for attendees and guests Producing event reports, ensuring accurate event registration and running, formatting and sharing event reports Providing on-site event support, as needed Knowledge, Skills, and Abilities Outstanding attention to detail and commitment to quality Excellent interpersonal skills, including verbal, written, and organizational skills Ability to provide high-level customer service Ability to be very flexible and adapt to change Able to manage time well, particularly while managing competing priorities Able to work independently and as a part of a team Willingness to take initiative, keep a positive attitude, and maintain a professional demeanor Adept at problem-solving, critical thinking, and using judgment in situations that require sensitivity Exemplary Office 365 skills, including Outlook, Word, Excel, Teams and OneDrive Required Qualifications Bachelor’s degree or equivalent combination of education and work experience (Veterans with equivalent combination of military certification/education and experience may substitute for the degree qualification). 1 year of professional administrative or events-related experience in an office environment Customer or client service experience Extensive experience with Office 365 tools, including Outlook, Word, Excel, Teams, and OneDrive Preferred Qualifications Experience working in an event-planning environment Experience working in higher education or similarly complex non-profit environments. Familiarity with project management software (e.g. Asana) Experience working in a robust event management platform (Cvent, GiveCampus) Working Environment Standard open office environment Noise level is quiet to moderate Physical Activities Ability to sit in front of and use a computer for an extended period Occasionally required to move about the office/campus with the capability of transporting objects up to 20 lbs. with assistance Use of personal vehicle occasionally required to transport event supplies Work ScheduleMonday - Friday, 8:00 a.m. - 4:30 p.m., some nights and weekends as required.
