Position Summary

The Coordinator primarily supports database management and data collection processes and act as a backup for the operation of the newly built Burwell Center for Career Achievement. The role will serve a global network of DU alumni, families, donors, students, employers, and visitors. The Coordinator manages several business functions including  database management, internship module -creation and maintenance, and supports the customer experience at the Burwell Center. This employee must be able to multi-task and prioritize many competing deadlines and timelines. Attention to detail, commitment to quality, and ability to take initiative are essential to success in this position. The Coordinator must also be an effective, professional, and diplomatic liaison to a variety of audiences including University leadership, Burwell Center staff, donors, alumni, employers, and other constituents. This position reports directly to the Director of CPD Business Information & Systems, and reports to the Building Operations & Community Engagement Manager for responsibilities related to front desk and Burwell Center operations.       

This is a non-benefited position not to exceed 1,000 hours in a calendar year.

Essential Functions

Database Management

  • Support software system maintenance, implementation and data configuration with Director and Information Technology
  • Examine database system to help implement strategic streamlined processes that take into account the needs of the multiple constituents we work with
  • Work with Information Technology on API maintenance and errors
  • Engagement tracking and list entry
  • Ongoing data quality management, including configurating fields for Student Groups and Assigned Advisors
  • Keeping employer and contacts lists clean by merging and updating information as constituents input data into PCO forms
  • Approving employee accounts for DU employees and updating employers of those who have left DU
  • Manage PCO admin access and support training new career services staff
  • Executing bulk quarterly updates for student groups and assigned advisors
  • Overseeing yearly data backups of PCO data
  • Bulk upload data updates and clean any unmatched items
  • Populate Events in Qualtrics Surveys
  • Verify and approve alumni in Crismon Constellation
  • Post-graduation outcomes phone outreach and online research
  • Review and validate data for post-graduation outcomes
  • Create and pull custom reports related to student engagement and career outcome information
  • Create ad hoc reports

Other Duties

  • Collaborate on Internship Approval through Internship Module and communicate with Registrar, faculty, students, and International Student & Scholar Services (ISSS) as needed
  • Build customized internship modules based on academic unit and department needs

Administrative & Front Desk Support

  • Provides excellent customer service to University leadership, advancement staff, campus colleagues, alumni, donors, visitors and others.  Responds knowledgably and professionally to inquiries over email, telephone, and in-person.
  • The Coordinator is expected to act as a backup for some shifts at the Reception Desk, and provide occasional support for Burwell events as needed.

  • Must be able to manage time well, particularly while managing competing priorities.

  • Adept at problem-solving, critical thinking, and using judgment in situations that that require sensitivity and tact.
  • Knowledge and understanding of technical applications - or the ability and willingness to learn them - such as CRMs and CSMs, Excel, Banner, and Qualtrics.
  • Demonstrated interest in managing data in inform business practices, and experience with data entry, cleaning, quality management, and database management.

Required Qualifications

  • Bachelor’s degree or equivalent combination of education and work experience.
  • 2 years of professional administrative experience, including significant data management responsibilities.

Preferred Qualifications

  • Bachelor’s degree or equivalent combination of education and work experience.
  • Experience working in higher education, a non-profit, or similar complex setting.
  • Customer service experience.

Work Schedule

  • Monday-Friday, 8 a.m. - 4:30 p.m.
  • Appx. 20 hours/week
  • Some nights and weekends as required

Working Environment

  • In-person standard office environment
  • Noise level is quiet to moderate
  • Part-time position, approx. 16-20 hours a week

Physical Activities

  • Ability to use a computer for an extended period
  • Occasionally required to move about the office/campus

Hourly Range

The hourly range for the position is $24.50 - $27.10.

The University of Denver has provided a compensation range that represents its good faith estimate of what the University may pay for the position at the time of posting. The University may ultimately pay more or less than the posted compensation range. The salary offered to the selected candidate will be determined based on factors such as the qualifications of the selected candidate, departmental budget availability, internal salary equity considerations, and available market information, but not based on a candidate’s sex or any other protected status.
