About Donor Relations & Stewardship

The Donor Relations & Stewardship team is an integral part of the fundraising success at DU. Centrally supporting University-wide efforts, the team is cross-collaborative, highly communicative, and supportive, where quality, excellence, and initiative are the cornerstones of our work. We serve many constituencies and have a strong focus on delivering good customer service, a pleasant experience, and timely responses to all inquiries.

Position Summary

Reporting to the Associate Director of Donor Relations & Stewardship, the Donor Relations & Stewardship Coordinator is responsible for executing and maintaining timely stewardship communications, organizing the signage and physical recognition inventory, and assisting with events, reporting, fund management, and data. They will manage the day-to-day operations of the acknowledgement process, coordinating and collaborating across teams. This professional will be an expert at project management and streamlining complex systems, while keeping timelines on track.

Essential Functions

Donor Correspondence

  • Ensure acknowledgements for all gifts to DU are sent in a personalized, timely and thoughtful manner aligning with industry best practices.
  • Implement behavior-based acknowledgement programs for first-time donors and recurring giving, ensuring timely and personalized donor recognition.
  • Prepare, review, and distribute gift acknowledgements on a weekly basis.
  • Prepare, review, and project manage birthday correspondence for Senior Vice Chancellor and Chancellor.
  • Track inventory of supplies and resources, maintaining accurate stock levels and anticipating future needs.
  • Coordinate with external vendors for printing and production of materials, ensuring quality and cost-effectiveness.

Signage and Recognition

  • Create and maintain inventories for all named spaces on campus.
  • Assist with documentation and recognition for donors naming new spaces on campus.

Data Stewardship

  • Monitor and resolve discrepancies identified during the acknowledgement process; collaborate with the Gifts and Records Administration team to ensure timely and accurate corrections.
  • Assist with fund management, scholarship stewardship, and gift administration related to stewarding donors.

Stewardship Support

  • Assist with various pieces of endowment reporting, impact reporting, scholarship reporting, and other stewardship reports as they arise (e.g., creation, data, writing, proofing, and mailing).
  • Assist with event preparations – invitation lists, RSVP tracking, nametags, working events, etc.
  • Assist team on special donor relations and stewardship projects as needed.

  • Serve as an active and collaborative partner to all central and unit-based advancement functions and other campus colleagues, to foster strategic, effective, and collaborative fundraising practices.
  • Model “One DU” thinking

Knowledge, Skills, and Abilities

  • Demonstrated experience managing complex systems in time constrained environments.
  • Advanced knowledge of Microsoft Word and Excel, specifically mail merging and data review.
  • Familiarity with CRM systems and data management (e.g., Salesforce, Banner, Ellucian) is a plus.
  • Excellent interpersonal skills, including verbal, written and organizational skills.
  • Ability to think innovatively and bring ideas to life.
  • Outstanding attention to detail and commitment to quality.
  • An understanding and attitude of customer service; ability to be very flexible and adapt to change.
  • Must be able to manage time well, particularly while managing competing priorities.
  • Must be able to work independently and as a part of a group.
  • Willingness to take initiative, keep a positive attitude, and maintain a professional demeanor.
  • Adept at problem-solving, critical thinking, and using judgment in situations that that require sensitivity and tact.
  • Cultural competency; ability to understand and appreciate cultural differences that impact constituents and to communicate effectively across cultures.

Required Qualifications

  • Bachelors degree or equivalent combination of education and work experience (Veterans with equivalent combination of military certification/education and experience may substitute for the degree qualification).
  • 2 years of related professional experience (e.g. administrative, operational, constituent engagement) in an office environment.

Preferred Qualifications

  • Experience in higher education, nonprofit, or similarly complex environment.

  • Standard open office environment
  • Noise level is quiet to moderate
  • Eligible for hybrid work

Physical Activities

  • Ability to sit in front of a computer for an extended period
  • Occasionally required to move about the office/campus with the capability of transporting objects up to 20 lbs. with assistance

Work Schedule
Monday - Friday, 8:00 a.m. - 4:30 p.m. In accordance with the University’s flexible work policy, this position is eligible to be considered for partial remote work. Further details regarding this plan will be determined with the hiring manager and are dependent on the division and team specific needs.

Salary Grade Number:
The salary grade for the position is 7.

Hourly Range:
The hourly range for the position is $$25.54-$29.63

The salary offered to the selected candidate will be determined based on factors such as the qualifications of the selected candidate, departmental budget availability, internal salary equity considerations, and available market information, but not based on a candidate’s sex or any other protected status.
