The Housing and Residential Education staff at the University of Denver provides housing and support services for 3000+ students living within that promotes diversity, promotes community service, and fosters leadership development, and housing. Position Summary

Under the supervision of the Housing Program Manager, the Assistant Operations Coordinator provides administrative and operational support to the Housing & Residential Education department. This includes general office duties, such as answering phones and emails, as well as specific project support for Residential Operations, such as move-in/move-out coordination, coordination and communication of housing transitions, and inventory management. The Assistant Operations Coordinator monitors facility needs, coordinates with vendors, and manages invoices. They are expected to participate in departmental events and programs, which may occasionally occur on weekends and evenings.

This is a non-benefited position not to exceed 1,000 hours in a calendar year.

Essential Functions

Administrative Support

  • Provide general central office support including, but not limited to, answering phones, assisting walk-ins, and responding to inquiries made to the department’s email accounts.
  • Develop understanding and utilize departmental software, including StarRez, to accurately respond to and document inquiries.
  • Provide project coordination for housing transitions and logistical support for all housing operations events and processes.

Residential Operations

  • Support Residential Operations Team on a variety of projects such as coordination of Move-in/Move-Out, Marketing & Communications, and development and/or documentation of Standard Operating Procedures.
  • Support Housing Assignments Team during high volume times such as early arrivals, room selection/assignment, spring-to-summer and summer-to-fall transitions.
  • Maintain an awareness of the facility needs of all HRE properties and submit appropriate documentation or follow-up.
  • Monitor all work requests/orders and follow-up as appropriate.
  • Coordinate with departmental vendors and campus partners for assigned operations-related processes and initiatives.
  • Maintain accurate inventory of all furniture and facility resources.
  • Supporting Residence Hall Front Desk Operations as needed.
  • Manage the Off-Campus Partners site, including, posting reviews and approval process and coordination of the Off-Campus Housing Fair.
  • Assist in End of Quarter damage billing. 

Departmental Responsibilities

  • Attend events and programs sponsored by the department and/or the Division of Student Affairs and Inclusive Excellence, including those that periodically occur on weekends and evenings.
  • Other duties as assigned.

Knowledge, Skills and Abilities 

  • Ability to become familiar with housing software systems, such as, StarRez and Microsoft Office suite.
  • Attention to detail, with a highly organized approach to data/project management.
  • Understanding regarding university housing, and front desk operations.
  • Ability to analyze and interpret data, processes, and needs based on limited information; research and communicate solutions.
  • Strong written and verbal communication skills.
  • Excellent collaboration and interpersonal skills along with the ability to work with a diverse population of administrators, faculty, staff, students and external constituents.

Required Qualifications 

  • Associate degree with 1-3 years of experience in an administrative or operational role.
  • Experience working in university housing or student residential facility
  • Demonstrated record of building collaborative partnerships with colleagues and key stakeholder groups
  • Operational experience
  • Evening office hours and occasional weekend commitments are expected

Preferred Qualifications

  • Bachelor’s degree with 1-2 years of experience in an administrative or operational role.
  • Experience working in university housing or student residential facility

Work Schedule

This position requires employees to work approximately 30 hours per week onsite between 8:00am-4:30pm. Final work schedule will be determined by Departmental needs and employee availability.

Work Environment

Standard office environment, unexpected interruptions occur often, and stress level is moderate to high, noise level is quiet to moderate.

Physical Activities

Ability to sit in front of a computer for an extended period, occasionally required to move about the office/campus with the capability of transporting objects up to 20 lbs.

Hourly Range

The hourly range for this position is $19.00-$21.00.

The University of Denver has provided a compensation range that represents its good faith estimate of what the University may pay for the position at the time of posting. The salary offered to the selected candidate will be determined based on factors such as the qualifications of the selected candidate, departmental budget availability, internal salary equity considerations, and available market information, but not based on a candidate’s sex or any other protected status.
