Department Summary

The Housing and Residential Education (HRE) team at the University of Denver is committed to providing housing and support services for over 3,000 on-campus students. Position Summary

Under the supervision of the Housing Program Manager, The Coordinator of Operations provides administrative and operational support to the Housing & Residential Education department. This includes general office duties, such as answering phones and emails, as well as specific project support for Residential Operations, such as move-in/move-out coordination, coordination and communication of housing transitions, and inventory management. The Coordinator of Operations monitors facility needs, coordinates with vendors, furniture inventory and manages invoices. They are expected to participate in departmental events and programs, which may occasionally occur on weekends and evenings.

Essential Functions

Administrative Support

  • Provides administrative support for the department, which includes but is not limited to, responding to telephone, email and in-person inquiries, scheduling appointments, meetings, and room reservations, resolving a variety of issues and complaints, maintaining a high level of communication with other departments, colleagues or external sources, while providing a high level of customer service.
  • Assists with departmental projects predominantly within Residential Operations team.
  • Establishes priorities to ensure that all projects and assignments are completed timely with minimal supervision.
  • Update and/or develop departmental Standard Operating Procedures(SOPs).

Residential Operations

  • Support Residential Operations Team on a variety of projects such as coordination of Move-in/Move-Out, Marketing & Communications, and development and/or documentation of Standard Operating Procedures.
  • Support Occupancy Team during high volume times such as early arrivals, room selection/assignment, spring-to-summer and summer-to-fall transitions.
  • Manage the regular walkthrough process of residence halls, houses, and apartments to ensure they are safe, clean, and free of issues and ensure that common spaces are neat and appropriately displayed.
  • Monitor all work requests/orders and follow-up as appropriate.
  • Coordinate with departmental vendors, such as Pest Control or Summer Storage, and campus partners for assigned operations-related processes and initiatives.
  • Maintain accurate inventory of all furniture and facility resources.
  • Supporting Front Desk Operations as needed.
  • Manage the Off-Campus Partners site, including, posting reviews and approval process and coordination of the Off-Campus Housing Fair.
  • Coordinate Move-In Volunteer Process.
  • Assists with the transitions between Conference & Event Services and Facilities Management.
  • Coordinate the End of Quarter damage billing.
  • Assist in the dissemination of departmental communications.

Departmental Responsibilities

  • Attend and participate in HRE, Divisional, and University meetings and task forces.
  • Attend regularly scheduled one on one supervisory meetings with Supervisor.
  • Develop working relationships with key campus partners, including but not limited to: Facilities Management, Department of Campus Safety, Student Rights and Responsibilities, Student Outreach and Support, Conference & Events Services, Vice Chancellor and Dean of Students Office, and Campus Vendors.
  • Attend events and programs sponsored by HRE and/or the Division of SAIE, including those that periodically occur on weekends and evenings.
  • Other duties as assigned.

Knowledge, Skills, and Abilities

  • Ability to become familiar with housing software systems, such as, StarRez and Microsoft Office suite.
  • Attention to detail, with a highly organized approach to data/project management.
  • Understanding regarding university housing, and front desk operations, or program management.
  • Ability to analyze and interpret data, processes, and needs based on limited information; research and communicate solutions.
  • Strong written and verbal communication skills.
  • Excellent collaboration and interpersonal skills along with the ability to work with a diverse population of administrators, faculty, staff, students and external constituents.

Required Qualifications

  • Associates degree, with one (1) year of administrative experience.
  • Demonstrated record of building collaborative partnerships with colleagues and key stakeholder groups.
  • Operational experience
  • Occasional evening office hours and weekend commitments are expected

Preferred Qualifications

  • Associates degree in Administration, Business, or a related field, or High School diploma or equivalency, with two to three years of administrative experience.
  • Bachelor’s degree with 1-2 years of experience in an administrative or operational role.
  • Experience working in university housing or student residential facility.

Working Environment

  • Standard office environment.
    Unexpected interruptions occur often and stress level is moderate to high.
  • Noise level is quiet to moderate.

Physical Activities

  • Ability to work in front of a computer for extended periods of time.
  • Occasionally required to move about the office/campus.

Work Schedule

Monday - Friday 8:00 AM - 4:30 PM, with some nights and weekends.

Salary Grade Number

The salary grade for the position is 6.

Hourly Range

The hourly range for the position is $22.00 - $23.00.

The University of Denver has provided a compensation range that represents its good faith estimate of what the University may pay for the position at the time of posting. The University may ultimately pay more or less than the posted compensation range. The salary offered to the selected candidate will be determined based on factors such as the qualifications of the selected candidate, departmental budget availability, internal salary equity considerations, and available market information, but not based on a candidate’s sex or any other protected status.
