Position Summary

The Executive Assistant provides outstanding, proactive, and highly professional administrative support to the College of Professional Studies. The successful candidate will be responsible for the following principal tasks, among others: (1) anticipating, managing, prioritizing, and facilitating the Deans communications, calendar, schedule, and workflow, with the goal of advancing the work of the Dean in an efficient and effective manner; (2) facilitating prompt, responsive, clear, and professional communications between the Deans Suite and other stakeholders; (3) supporting internal communications and college-wide updates from the Dean to faculty and staff; (4) collaborating with other members of the Deans Suite and the University of Denver in advancing the work and mission of the College of Professional Studies; and (5) effectively advancing and completing a variety of special projects in support of the Deans priorities. The successful candidate should be skilled at communication, collaboration, prioritization, multitasking, and project management and consistently model professionalism, thoroughness, teamwork, attention to detail, and a commitment to confidentiality, respectful engagement, inclusion, and customer service. This position requires significant adaptability and a commitment to teamwork, including cross-training to support other staff.

Essential Functions

  • Manages the calendar of the Dean, communications, travel, and daily workflow, ensuring priorities are addressed efficiently and the Dean is prepared for meetings and events.
  • Provides front-line office support for the Dean’s Suite, including phone and visitor triage, meeting logistics, preparation of agendas and materials, confidential correspondence, and accurate recordkeeping in alignment with University policies.
  • Supports internal communications by drafting and distributing updates and announcements from the Dean to faculty and staff under the Deans direction.
  • Facilitates prompt, professional communication and strong working relationships between the Dean’s Suite and a wide range of stakeholders, including faculty, staff, students, senior leadership, alumni, and external partners; may communicate on behalf of the Dean when appropriate.
  • Coordinates meetings and events for the College of Professional Studies, including donor visits, accreditation site visits, and community events, managing logistics such as scheduling, catering, room reservations, and guest coordination, with day-of support as needed.
  • Tracks and organizes incoming issues, concerns, and requests directed to the Dean, researching background information and preparing prioritized summaries for the Deans review and decision-making, then following up on action items to ensure timely resolution.
  • Supports operational functions for the Dean’s Suite, which may include coordinating performance review processes and managing routine business operations such as supplies and expense reports.
  • Performs other duties that advance the work and mission of the College of Professional Studies and the Dean’s priorities, collaborating with colleagues across the University and modeling professionalism, discretion, and a commitment to inclusive customer service.
  • Creates presentation materials for internal University meetings and events.
  • Prepares and provides monthly and special reports.

Knowledge, Skills, and Abilities

  • Excellent written and verbal communication skills, with a focus on clear, professional, and customer-focused messaging.
  • Strong organizational skills with the ability to prioritize multiple tasks and manage competing demands with excellent attention to detail.
  • Familiarity with project management principles and the ability to track tasks, timelines, and deliverables across multiple concurrent projects.
  • Familiarity with project management and collaboration tools (such as Wrike, Asana, Trello, ClickUp, or similar) to organize work and communicate status updates.
  • Strong interpersonal skills and ability to build and maintain effective relationships with stakeholders, including staff, executive and senior leadership, external partners, and vendors.
  • Ability to maintain confidentiality and follow established procedures courteously and professionally.
  • Proven ability to adapt effectively to competing demands and a dynamic, fast-paced environment.
  • Ability to work collaboratively as part of a team with general supervision.
  • Strong work ethic with the ability to manage time wisely, maintain consistent performance, and demonstrate a positive attitude and high ethical standards.
  • Intermediate to advanced skills with Microsoft Office Suite.
  • Strong problem-solving skills and ability to research solutions.
  • Demonstrated ability to achieve high-performance goals and meet deadlines.

Required Qualifications

  • A two-year degree or equivalent training and experience.
  • 2-3 years of work experience that is directly related to the essential job functions. 
  • Experience providing administrative support in a professional office environment. 
  • Experience with the Microsoft suite including Teams and Outlook.
  • Experience using AI tools (such as ChatGPT, Claude, or similar) to support work efficiency and productivity.

Preferred Qualifications

  • Bachelors degree or equivalent training and experience.
  • 4-6 years relevant experience providing administrative assistance that is directly related to the essential job functions.
  • Experience communicating with, and assisting high-level leadership, donors, and external and internal contacts.
  • Experience in higher education or a similar complex environment. 
  • Experience with DU systems such as Concur, Banner, Piosphere, Tableau, Momentus, etc.

Working Environment

  • Standard office environment.
  • Unexpected interruptions occur often and stress level is moderate to high.
  • Noise level is quiet to moderate.

Physical Activities

  • Ability to work in front of a computer for extended periods
  • Occasionally required to move about the office and campus with the capability of transporting objects up to 20 pounds

Work Schedule
Monday - Friday, 8:00 a.m. - 4:30 p.m.  In accordance with the University’s flexible work policy, this position is eligible to be considered for partial remote work. Further details regarding this plan will be determined with the hiring manager and are dependent on the division and team specific needs.

Salary Grade Number:
The salary grade for the position is 10.

Salary Range:
The salary range for the position is $65,000 - $75,000

The University of Denver has provided a compensation range that represents its good faith estimate of what the University may pay for the position at the time of posting. The salary offered to the selected candidate will be determined based on factors such as the qualifications of the selected candidate, departmental budget availability, internal salary equity considerations, and available market information, but not based on a candidate’s sex or any other protected status.
