Under the direction of the Senior Vice Provost for Research and Graduate Education and the Associate Provost of Graduate Education, OGE partners with deans, academic units, GSG and University governance on recruitment and retention, fellowships and financial aid, academic assessment, and program review to continually improve the quality of graduate education at DU.
In consultation with the Provost and Graduate Council, OGE is responsible for the authorship and oversight of graduate policy, upholding standards with fairness and respect to all. In all that we do, the OGE supports the Universitys commitment to creating a diverse, ethical, and intellectually vibrant campus community.
Position Summary
Through the management of OGEs front line staff, the Operations Coordinator is responsible for establishing a regular cadence of communication with current & prospective graduate students, faculty, and other University offices as related to graduate admissions, enrollment, and student services such as: academic processes & timelines, university policies & program guidelines, and students’ progress toward graduation. While supporting the daily work of the admissions & student services teams and general operations, this position will supervise and assign tasks to student employees, ensure optimal interactions for all graduate students, and provide equitable support according to the needs of the office. This position will be involved in various aspects of project management, event management, operations, and communications. A successful incumbent will develop a thorough understanding of University processes. The Operations Coordinator reports to the Director of Business and Operations.
Essential Functions
Management
- Manage a group of 6-8 student employees, including: hiring, training, scheduling, conducting annual performance evaluations, mentoring work award status, and holding individual quarterly check-in meetings.
- Assign, oversee and provide feedback on work assignments to support OGE enrollment and student services operations.
- Hold bi-weekly meetings with admissions and student services teams to determine student staff task priorities to ensure efficient support, particularly during peak seasons.
Enrollment
- Conduct, or assign and supervise, routine precursory admissions procedures in application CRM, including scanning and uploading transcripts, reviewing transcripts, data entry, purging documents, sending e-mail notifications, etc.
- Serve as a liaison for third-party online programs vendor to ensure efficient transfer of documents between systems.
- Oversee call center campaigns to enhance connections with prospective applicants and increase submitted applications.
- Provide outstanding customer service to prospective students and applicants by e-mail, phone or in-person.
- Respond to admissions-related e-mail inquiries in a professional and timely manner.
Student Services
- Assist in providing efficient operations for the oral defense process such as sending out oral defense paperwork through DocuSign, sending reminder communications for upcoming oral defense deadlines and formatting theses and dissertations.
- Collaborate with the student services team to assist with the evaluation and certification process during high-volume graduation terms including sending out graduation evaluations, reviewing certifications for errors/typos and answering general inquiries on graduation and commencement.
General/Operations
- Manage Reception Area, ensuring front desk/phone coverage and an orderly and welcoming reception area.
- Maintain efficient intra-office communication protocols, supply and maintenance orders, and the distribution of incoming mail and packages.
- Facilitate monthly all teams meeting for all OGE staff, including both on-site and remote personnel.
- Implement or assist with events as needed and assigned, including room reservations, auxiliary support coordination, and general event management.
- Create general marketing materials for OGE sponsored events
- Assist with the onboarding of new OGE staff (e.g. technology and workspace)
- Make general website updates using Drupal (e.g. office hours and staff photos).
- Serve on committees as assigned
- Other duties as assigned

Required Qualifications
- Bachelors degree
- 2 years of administrative/office experience in a customer service role
- Experience with Microsoft Office products including MS Word, Excel and Outlook
Preferred Qualifications
- Experience using Ellucian Banner, Technolutions Slate or similar systems
- Office experience in a higher education setting
- One year of supervisory experience
Working Environment
- Standard office environment.
- Unexpected interruptions occur often and stress level is moderate to high.
- Noise level is quiet to moderate.
Physical Activities
- Ability to sit in front of a computer for an extended period of time.
- Occasionally required to move about the office/campus with the capability of transporting objects up to 20 lbs.
Work Schedule
Monday - Friday, 8:00 a.m. - 4:30 p.m. In accordance with the University’s flexible work policy, this position is eligible to be considered for partial remote work after a preliminary period. Further details regarding this plan will be determined with the hiring manager and are dependent on the division and team specific needs.

Hourly Range:
The hourly range for this position is $24.00-$27.00
